We are currently seeking a meticulous and detail-oriented individual to join our team as a Billing Clerk. The Billing Clerk will be responsible for accurately processing invoices, managing billing records, and ensuring timely payments from customers. Responsibilities: Generate and process invoices for products/services rendered to customers accurately and in a timely manner. Verify billing data and ensure that invoices are complete, accurate, and compliant with company policies and procedures. Review sales orders, contracts, and purchase orders to determine billing requirements, pricing, and terms. Calculate and apply appropriate taxes, discounts, and adjustments to invoices based on contractual agreements and regulatory requirements. Communicate with customers to resolve billing discrepancies, address inquiries, and provide assistance with payment-related issues. Prepare and send statements of account, reminder notices, and past-due invoices to customers to facilitate prompt payment. Monitor accounts receivable aging reports and follow up on outstanding invoices to ensure timely collection and reduce delinquency. Update billing records and customer accounts accurately in the billing system or accounting software. Collaborate with internal departments, including sales, customer service, and finance, to resolve billing-related issues and discrepancies. Assist with month-end and year-end closing activities, including reconciling billing records, preparing reports, and providing support for audits. Maintain confidentiality of sensitive billing information and adhere to data protection and privacy regulations. Stay updated on billing procedures, billing software, and industry standards to enhance efficiency and accuracy in billing operations. Requirements: High school diploma or equivalent qualification; additional certification in accounting or related field is a plus. Proven experience as a Billing Clerk, Billing Coordinator, or similar role, preferably in a billing or accounting department. Proficiency in using billing software, accounting software, and Microsoft Office applications, especially Excel. Strong numerical aptitude and attention to detail to accurately process invoices and perform calculations. Excellent organizational skills and ability to manage multiple tasks and priorities effectively. Effective communication skills, both verbal and written, to interact with customers and internal stakeholders. Customer service-oriented attitude with a commitment to providing quality service and resolving customer issues. Analytical and problem-solving skills to identify and resolve billing discrepancies and payment issues. Ability to work independently with minimal supervision and as part of a team in a fast-paced environment. Integrity and professionalism in handling confidential information and financial transactions. Adaptability and willingness to learn and embrace new billing processes, software, and technologies. Flexibility to work flexible hours, including evenings and weekends, as needed to meet deadlines and accommodate peak billing periods.
