As part of our team, the Office Assistant plays a vital role in supporting day-to-day operations and ensuring the smooth functioning of the office.You will undertake a variety of tasks ranging from basic office duties to assisting with special projects and initiatives. This role requires strong organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment. Responsibilities: Greet and assist visitors, clients, and employees in a courteous and professional manner. Answer and direct phone calls to the appropriate person or department. Respond to inquiries via phone, email, and in-person, providing accurate information and assistance. Maintain office supplies inventory by checking stock levels, ordering supplies, and restocking as needed. Assist with document preparation, photocopying, scanning, and filing. Sort and distribute incoming mail, packages, and deliveries. Coordinate appointments, meetings, and travel arrangements for staff. Assist with scheduling and coordinating meetings, conferences, and events. Perform basic bookkeeping tasks, such as recording expenses and processing invoices. Update and maintain office policies and procedures. Assist with the organization and maintenance of office facilities, equipment, and supplies. Assist with special projects and initiatives as assigned by management. Maintain confidentiality of sensitive information and documents. Follow company policies, procedures, and safety guidelines. Perform other duties as assigned to support the smooth functioning of the office. Requirements: High school diploma or equivalent qualification. Proven experience in an administrative or office support role is preferred but not required. Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Excellent communication skills, both verbal and written. Strong organizational and time management skills. Attention to detail and accuracy in completing tasks. Ability to multitask and prioritize tasks effectively. Professional demeanor and customer service orientation. Ability to work independently and as part of a team.
