Assist customers with appointment scheduling, reservations, and other inquiries or requests. Administrative Support: Perform various administrative tasks, including data entry, filing, photocopying, and faxing documents. Assist with the preparation of correspondence, reports, and presentations as needed. Appointment Scheduling: Schedule appointments, meetings, and conference room reservations for staff and clients. Maintain and update calendars to ensure accuracy and availability. Mail Handling: Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and packages for pickup or delivery. Maintaining Reception Area: Keep the reception area clean, organized, and presentable at all times. Ensure adequate stock of office supplies and promotional materials in the reception area. Security and Access Control: Monitor and control access to the premises, issuing visitor badges and maintaining visitor logs as necessary. Alert appropriate personnel in case of security breaches or emergency situations. Collaboration and Communication: Coordinate with other departments and personnel to address visitor needs and requests. Qualifications: High school diploma or equivalent; additional certification in office administration or hospitality is a plus. Proven experience as a receptionist, front desk representative, or similar role. Excellent communication and interpersonal skills, with a friendly and professional demeanor. Strong organizational skills and attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Ability to multitask and prioritize tasks effectively in a fast-paced environment. Customer service-oriented attitude with a positive and proactive approach. Ability to handle sensitive information with confidentiality and discretion. Knowledge of office equipment, such as multi-line phone systems and fax machines.
