As a Purchase Executive, you will play a key role in procuring goods and services required for our operations, ensuring timely delivery, quality, and cost-effectiveness. Responsibilities: Vendor Sourcing: Identify potential vendors, suppliers, and service providers through market research, referrals, and networking. Evaluate vendor capabilities, reliability, and pricing to build a qualified supplier base. RFQ/RFP Process: Prepare requests for quotation (RFQs) or requests for proposal (RFPs) based on organizational needs and requirements. Solicit bids, quotations, and proposals from vendors and evaluate responses to select the most suitable suppliers. Negotiation: Negotiate pricing, terms, and contracts with vendors to secure favorable terms and conditions. Seek opportunities for cost savings, volume discounts, and favorable payment terms while maintaining quality standards and delivery schedules. Purchase Order Processing: Generate purchase orders (POs) accurately and efficiently based on approved requisitions or purchase requests. Ensure that POs include all necessary details, specifications, quantities, and delivery instructions. Order Tracking: Monitor and track the status of purchase orders to ensure timely delivery of goods and services. Communicate with vendors, logistics providers, and internal stakeholders to expedite shipments and resolve delivery issues. Quality Assurance: Verify the quality, specifications, and conformity of received goods and services with purchase orders and contractual agreements. Inspect samples, conduct quality checks, and address discrepancies or non-conformities as needed. Vendor Management: Establish and maintain positive relationships with vendors, suppliers, and contractors. Address vendor inquiries, concerns, and performance issues promptly and professionally to ensure ongoing collaboration and satisfaction. Inventory Management: Coordinate with inventory and warehouse teams to manage stock levels, inventory turnover, and replenishment cycles. Maintain accurate records of inventory transactions, stock levels, and consumption patterns. Cost Analysis: Analyze purchasing trends, expenses, and costs to identify opportunities for cost reduction, process improvement, and optimization. Prepare reports, metrics, and analysis to track purchasing performance and support decision-making. Requirements: Educational Qualification: Bachelor's degree in business administration, supply chain management, procurement, or a related field. Additional certifications or coursework in purchasing or supply management is a plus. Experience: Previous experience in purchasing, procurement, or supply chain management roles. Experience in a manufacturing, retail, or distribution environment is preferred. Negotiation Skills: Strong negotiation and vendor management skills. Ability to build rapport, influence decision-makers, and secure favorable terms and agreements with suppliers. Analytical Skills: Excellent analytical and problem-solving abilities. Ability to analyze data, evaluate options, and make informed decisions to optimize purchasing processes and outcomes. Communication Skills: Effective verbal and written communication skills. Ability to communicate clearly, concisely, and diplomatically with vendors, colleagues, and internal stakeholders. Attention to Detail: Meticulous attention to detail and accuracy in reviewing contracts, specifications, and purchase documents. Ability to identify errors, inconsistencies, and discrepancies to ensure compliance and quality. Organizational Skills: Strong organizational and time management skills. Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines in a fast-paced environment. Computer Skills: Proficiency in Microsoft Office Suite, particularly Excel, Word, and Outlook. Familiarity with purchasing software, ERP systems, or inventory management tools is an advantage.
