As a Billing Specialist, you will be responsible for accurately preparing invoices, processing payments, and maintaining financial records for goods or services provided by the company. Your role involves managing billing cycles, resolving billing discrepancies, and ensuring timely and accurate billing procedures. This position requires attention to detail, strong numerical skills, and proficiency in billing software or accounting systems. Responsibilities: Invoice Preparation: Generate and prepare invoices for products sold or services rendered to customers, ensuring accuracy and completeness of billing information. Verify pricing, quantities, discounts, and other billing details against sales orders or service agreements. Billing Cycles Management: Coordinate billing cycles and schedules to ensure timely and consistent invoicing for recurring services or subscriptions. Send out invoices to customers via email, mail, or electronic billing platforms as per established timelines. Payment Processing: Receive and process payments from customers through various payment methods, including cash, checks, credit cards, and online payment portals. Reconcile payments received with invoices issued and update accounting records accordingly. Billing Discrepancy Resolution: Investigate and resolve billing discrepancies or disputes by communicating with customers, sales representatives, and other relevant parties. Update billing records, adjust invoices, and issue credit notes or refunds as necessary to rectify errors or discrepancies. Customer Communication: Respond to billing inquiries and requests from customers in a timely and professional manner, providing explanations, clarifications, and assistance as needed. Maintain positive relationships with customers and address any concerns or issues related to billing and invoicing. Recordkeeping and Reporting: Maintain accurate and up-to-date billing records, transaction logs, and customer accounts in the company's accounting or billing system. Generate billing reports, aging analyses, and financial summaries for management review and decision-making. Qualifications and Skills: Bachelor's degree in Accounting, Finance, Business Administration, or a related field is preferred. Proven experience in billing, invoicing, or accounts receivable roles, with a strong understanding of billing processes and principles. Proficiency in accounting software, billing systems, and MS Office applications, particularly Excel. Excellent numerical aptitude and attention to detail, with the ability to accurately process and reconcile financial data. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines. Effective communication and interpersonal skills, with the ability to interact professionally with customers and colleagues.
