As a Receptionist, you will be the first point of contact for visitors and clients, providing excellent customer service and administrative support in a professional office environment in Malappuram. Your role involves greeting guests, answering phone calls, scheduling appointments, and performing various clerical tasks to ensure smooth operations. The ideal candidate will have strong communication skills, a friendly and welcoming demeanor, and the ability to multitask effectively. Key Responsibilities: Front Desk Operations: Welcome visitors and clients in a courteous and professional manner, providing assistance and direction as needed. Answer incoming phone calls, route calls to appropriate individuals or departments, and take messages accurately. Appointment Scheduling: Schedule appointments, meetings, and conference room bookings for staff members and clients using scheduling software or calendars. Coordinate with staff to ensure that appointments are scheduled efficiently and that any changes or cancellations are communicated promptly. Visitor Management: Register guests, issue visitor badges, and maintain a log of visitor arrivals and departures to ensure security and compliance with organizational policies. Notify staff members of visitor arrivals and assist with escorting guests to meeting areas or designated locations. Administrative Support: Assist with administrative tasks, such as photocopying, scanning, filing, and data entry, to support the efficient operation of the office. Handle incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients. Customer Service: Respond to inquiries from clients, visitors, and staff members promptly and professionally, providing accurate information and assistance. Address customer concerns or complaints courteously, escalating issues to management as needed to ensure resolution. Office Maintenance: Maintain cleanliness and organization at the reception area, including the reception desk, lobby, and waiting area, to create a welcoming and professional environment. Monitor office supplies inventory, replenishing stock as needed and submitting purchase requests to procurement staff. Qualifications and Skills: High school diploma or equivalent qualification required; additional certification or training in office administration or customer service is a plus. Proven experience as a receptionist, front desk officer, or customer service representative in a professional setting. Excellent verbal and written communication skills, with the ability to interact effectively with diverse individuals in person, over the phone, and via email. Strong organizational and multitasking abilities, with the capacity to prioritize tasks and manage time efficiently in a fast-paced environment. Proficiency in computer skills, including Microsoft Office applications and basic office equipment (e.g., multi-line phone systems, fax machines). Additional Information: This is a full-time position based in Malappuram, Kerala. Regular working hours, typically Monday to Saturday, with occasional evening or weekend shifts as needed.
