As a Receptionist, you will play a vital role as the first point of contact for visitors, guests, and clients, providing exceptional customer service and administrative support. This role involves managing the front desk, handling inquiries, coordinating appointments, and assisting with various administrative tasks. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask effectively. Key Responsibilities: Front Desk Management: Greet visitors, guests, and clients with a warm and welcoming attitude, directing them to the appropriate personnel or areas as needed. Answer incoming calls promptly and courteously, screening and transferring calls to the appropriate individuals or departments. Appointment Scheduling and Coordination: Schedule appointments, meetings, and reservations for clients, executives, and staff members, maintaining an organized calendar and ensuring efficient time management. Coordinate meeting room bookings, equipment setup, and refreshment arrangements for internal and external meetings. Visitor and Guest Services: Register and sign in visitors, issue visitor badges, and notify hosts of their arrival, adhering to security protocols and maintaining visitor logs. Assist guests with inquiries, directions, and requests for information or assistance, ensuring their needs are addressed promptly and professionally. Administrative Support: Provide general administrative assistance to various departments, including photocopying documents, filing paperwork, and handling mail and packages. Assist with data entry, record-keeping, and maintaining databases or spreadsheets related to front desk operations. Communication and Correspondence: Respond to emails, letters, and inquiries received via phone or in person, forwarding messages to the appropriate individuals and ensuring timely follow-up. Draft and format correspondence, memos, and reports as requested by management or staff members. Customer Service Excellence: Handle customer inquiries, complaints, and feedback professionally and courteously, escalating issues to supervisors or managers as necessary for resolution. Strive to exceed customer expectations by providing personalized service, anticipating needs, and offering solutions to enhance the customer experience. Qualifications and Skills: High school diploma or equivalent qualification required; additional certification in office administration or customer service is a plus. Proven experience as a receptionist, front desk officer, or customer service representative, preferably in a hotel, corporate office, or service-oriented environment. Excellent communication skills, both verbal and written, with fluency in English and Malayalam. Knowledge of additional languages may be beneficial. Strong interpersonal skills and a pleasant demeanor, with the ability to interact professionally with visitors, guests, clients, and colleagues. Proficiency in using computers and office equipment, including MS Office applications (Word, Excel, Outlook) and multi-line phone systems. Organizational skills and attention to detail to manage multiple tasks, prioritize assignments, and meet deadlines in a fast-paced environment. Customer service orientation, with a genuine desire to assist others and create positive experiences for visitors and guests. Additional Information: This position may involve working flexible hours, including evenings, weekends, and holidays, based on operational requirements. Training on front desk procedures, customer service standards, and office systems may be provided to new hires.
