We are looking for a reliable and customer-focused Receptionist to be the first point of contact for visitors, clients, and employees. The Receptionist will handle incoming calls, greet guests, and perform various administrative tasks to ensure the smooth operation of our office. Responsibilities: Greet and welcome visitors, clients, and employees in a courteous and professional manner. Answer and direct incoming calls to the appropriate person or department, taking messages as needed. Manage the reception area, ensuring it is clean, organized, and presentable at all times. Register guests and issue visitor badges, maintaining security protocols and access control. Schedule appointments, meetings, and conference rooms as requested by staff members. Assist with administrative tasks, such as sorting and distributing mail, filing documents, and updating records. Coordinate with other departments to ensure seamless communication and collaboration. Assist with basic office tasks, such as photocopying, scanning, and faxing documents. Monitor and maintain office supplies inventory, placing orders as needed. Assist with special projects and events, providing logistical support as required. Handle inquiries and provide information to clients, visitors, and employees in person, by phone, or via email. Maintain confidentiality of sensitive information and adhere to data protection policies. Requirements: High school diploma or equivalent qualification. Proven work experience as a Receptionist, Front Desk Officer, or similar role is preferred but not required. Excellent communication and interpersonal skills, with a friendly and professional demeanor. Strong customer service orientation and the ability to handle inquiries and requests courteously and efficiently. Proficiency in Microsoft Office applications (Word, Excel, Outlook) and basic computer skills. Organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively. Ability to remain calm and composed under pressure and in fast-paced environments. Flexibility to work various shifts, including evenings, weekends, and holidays, as needed. Familiarity with office equipment, such as multi-line phone systems, fax machines, and printers. Knowledge of administrative and clerical procedures is advantageous. Fluency in English and Malayalam is required; knowledge of additional languages is a plus.
