The Back Office Executive will be responsible for performing various administrative and clerical tasks to support the smooth and efficient operation of the organization. Responsibilities: Perform routine administrative tasks, such as data entry, filing, photocopying, scanning, and document management, to maintain accurate records and information systems. Handle incoming and outgoing correspondence, including mail, email, and telephone calls, and respond to inquiries or redirect them to the appropriate department or personnel. Assist in the preparation and processing of documents, forms, reports, and presentations, ensuring accuracy, completeness, and adherence to company standards and guidelines. Coordinate and schedule appointments, meetings, and travel arrangements for team members, executives, or clients, and manage calendars and itineraries accordingly. Manage inventory and supplies for office operations, including ordering, stocking, and replenishing office supplies, stationery, and equipment as needed. Assist in the coordination of office events, meetings, conferences, and workshops, including logistical arrangements, catering, and audiovisual support. Collaborate with other departments, teams, or external stakeholders to facilitate communication, coordination, and information sharing as needed. Compile and maintain records of employee attendance, leave requests, and timesheets, and assist in payroll processing and HR administrative tasks as required. Assist in the preparation and distribution of internal communications, announcements, and newsletters to keep employees informed about company policies, procedures, and events. Ensure compliance with data protection regulations, confidentiality policies, and security measures for handling sensitive information and records. Conduct research, gather data, and compile reports or presentations on various topics, projects, or initiatives to support decision-making and planning processes. Provide administrative support to managers, supervisors, or team leaders, including drafting correspondence, preparing presentations, and organizing meetings or events. Requirements: Bachelor's degree in Business Administration, Office Management, or a related field is preferred. Proven work experience as a Back Office Executive, Administrative Assistant, or Office Administrator, with a strong background in administrative tasks and office management. Proficiency in using Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook, for document creation, data analysis, and communication. Excellent organizational skills and attention to detail in managing multiple tasks, priorities, and deadlines effectively in a fast-paced environment. Strong communication and interpersonal skills, with the ability to interact professionally with colleagues, clients, and external contacts. Ability to maintain confidentiality, exercise discretion, and handle sensitive information with integrity and professionalism. Problem-solving abilities and resourcefulness in resolving issues, finding solutions, and adapting to changing circumstances. Flexibility to adapt to shifting priorities, tasks, and responsibilities, and willingness to learn new skills and take on additional duties as needed. Positive attitude, reliability, and a proactive approach to taking initiative and contributing to team success. Fluency in English and Malayalam; proficiency in additional languages is an advantage.
