As a Back Office Assistant in Ernakulam, you will be responsible for performing various administrative and clerical tasks to support the efficient operation of the back-office functions of an organization. Your role will involve handling data entry, maintaining records, assisting with documentation, and providing general administrative support to back-office staff and departments. Key Responsibilities: Data Entry: Input data into computer systems and databases accurately and efficiently. Ensure the integrity and accuracy of data by verifying and reviewing entries for errors or inconsistencies. Update and maintain electronic records and files as needed. Document Processing: Assist with the processing, filing, and retrieval of documents, forms, and paperwork. Organize and maintain physical and electronic filing systems to ensure easy access and retrieval of documents as required. Correspondence Handling: Receive, sort, and distribute incoming mail, emails, and other correspondence. Respond to routine inquiries and requests for information or assistance. Draft, format, and proofread correspondence, reports, and documents as needed. Office Support: Provide general administrative support to back-office staff and departments. Assist with photocopying, scanning, printing, and faxing documents. Maintain office supplies inventory and place orders for replenishment as needed. Record Keeping: Maintain accurate and up-to-date records of transactions, activities, and communications. Compile and organize data into reports, spreadsheets, and summaries for analysis or reporting purposes. Ensure confidentiality and security of sensitive information. Database Management: Assist with the maintenance and management of databases, including data entry, updating records, and generating reports. Perform routine data cleaning and validation to ensure data accuracy and integrity. Coordination: Coordinate with other departments, teams, or external parties as necessary to facilitate communication, collaboration, and the exchange of information. Schedule appointments, meetings, and conferences as requested. Quality Assurance: Review documents, forms, and reports for accuracy, completeness, and compliance with established standards and procedures. Identify and resolve discrepancies or inconsistencies as needed. Problem Solving: Address inquiries, issues, or concerns from internal and external stakeholders in a timely and professional manner. Escalate complex or unresolved issues to management for resolution as necessary. Adherence to Policies: Adhere to company policies, procedures, and guidelines related to back-office operations, data management, and administrative tasks. Ensure compliance with regulatory requirements and industry standards. Qualifications: High school diploma or equivalent qualification. Additional education or training in office administration or related field is a plus. Previous experience in an administrative or clerical role, preferably in a back-office environment. Proficiency in computer applications such as MS Office (Word, Excel, Outlook) and data entry software. Strong attention to detail and accuracy in data entry and record-keeping. Excellent organizational and time management skills. Effective communication and interpersonal abilities. Ability to work independently with minimal supervision. Problem-solving skills and ability to prioritize tasks. Confidentiality and integrity in handling sensitive information.
