Front Desk Reception: Greet visitors, answer phone calls, and direct inquiries to the appropriate personnel. Manage the reception area and ensure a welcoming environment. Administrative Support: Provide administrative support to various departments as needed. Assist in preparing documents, reports, and presentations. Email and Correspondence: Manage and respond to email correspondence in a professional and timely manner. Coordinate communication between internal and external stakeholders. Office Supplies and Inventory: Monitor and manage office supplies, placing orders as needed. Maintain inventory records and ensure sufficient stock levels. Appointment Scheduling: Coordinate and schedule appointments, meetings, and conference calls. Manage calendars for key personnel. Document Filing and Organization: Organize and maintain physical and electronic filing systems. Ensure proper labeling and easy retrieval of documents. Mail Handling: Sort and distribute incoming mail and packages. Prepare outgoing mail and packages for delivery. Data Entry: Enter data accurately into databases and spreadsheets. Conduct regular data checks to ensure accuracy. Meeting Support: Assist in preparing meeting rooms and materials for internal and external meetings. Provide logistical support during meetings and events. Office Cleanliness and Maintenance: Collaborate with the facilities team to ensure a clean and organized office environment. Report any maintenance issues or equipment malfunctions. Qualifications: High school diploma or equivalent; additional education or certification is a plus. Proven experience in an office support or administrative role. Strong organizational and multitasking skills. Excellent communication and interpersonal abilities. Proficiency in Microsoft Office Suite (Word, Excel, Outlook). Detail-oriented with a high level of accuracy. Ability to handle confidential information with discretion. Positive attitude and a willingness to contribute to a collaborative work environment.
