As part of our administrative team, we are seeking diligent and organized individuals to join us as Office Staff. Job Description: 1. Administrative Support: Provide general administrative support to the office, including answering phones, responding to emails, and handling correspondence. Assist with data entry, filing, photocopying, scanning, and other clerical tasks as needed to maintain organized records and documentation. 2. Front Desk Operations: Greet visitors and clients courteously and direct them to the appropriate personnel or meeting rooms. Manage incoming and outgoing mail, packages, and deliveries, and distribute them to the relevant recipients. 3. Office Maintenance: Ensure the cleanliness and tidiness of the office space, including workstations, conference rooms, and common areas. Monitor office supplies inventory and place orders for replenishment as needed, ensuring adequate stock levels are maintained. 4. Appointment Scheduling: Schedule appointments, meetings, and conference calls for staff members, maintaining an organized calendar and coordinating with internal and external stakeholders. 5. Recordkeeping and Documentation: Maintain accurate and up-to-date records of office expenses, employee attendance, and other administrative data using spreadsheets or databases. Prepare and distribute reports, memos, and presentations as requested by management or staff members. 6. Communication and Coordination: Communicate effectively with colleagues, clients, and vendors to relay messages, coordinate activities, and facilitate smooth operations. Collaborate with team members to complete tasks and projects efficiently and meet deadlines. Requirements: High school diploma or equivalent qualification required; additional certification or training in office administration or related field is a plus. Previous experience in an office support role or administrative position preferred but not required. Proficiency in Microsoft Office applications (Word, Excel, Outlook) and basic computer skills. Excellent communication skills, both verbal and written, with a professional and friendly demeanor. Strong organizational and multitasking abilities, with a keen attention to detail and accuracy.
