We are currently seeking a highly organized and detail-oriented Purchasing Officer to join our team in Thiruvananthapuram. The Purchasing Officer will play a key role in sourcing, negotiating, and procuring goods and services to support the operational needs of the organization. Responsibilities: Sourcing and Vendor Management: Identify potential suppliers, vendors, and service providers through market research, networking, and referrals. Evaluate supplier capabilities, pricing, quality, and reliability to select suitable vendors for procurement needs. Request for Quotations (RFQs): Prepare and issue RFQs, RFPs, and purchase orders to suppliers based on procurement requirements. Negotiate pricing, terms, and contracts with vendors to secure favorable agreements and achieve cost savings. Supplier Relationship Management: Cultivate and maintain strong relationships with suppliers, vendors, and contractors to ensure timely delivery of goods and services. Address supplier inquiries, concerns, and issues promptly and effectively to resolve any disruptions in supply chain operations. Purchase Order Processing: Review and process purchase requisitions and purchase orders in accordance with company policies and procedures. Verify order accuracy, specifications, quantities, and pricing before finalizing purchase transactions. Inventory Management: Monitor inventory levels and stock availability of purchased items to prevent stockouts or overstock situations. Coordinate with inventory control teams to optimize inventory levels, minimize carrying costs, and ensure adequate supply to meet demand. Quality Assurance: Collaborate with quality assurance teams to establish and enforce product quality standards and specifications. Conduct supplier audits and inspections to verify compliance with contractual obligations and regulatory requirements. Cost Analysis and Budgeting: Analyze purchasing trends, costs, and expenses to identify opportunities for cost reduction and process improvement. Prepare budget forecasts, variance reports, and procurement analytics to support decision-making and strategic planning. Contract Management: Maintain accurate records of vendor contracts, agreements, and procurement documents. Monitor contract expiration dates, renewal terms, and performance metrics to ensure contract compliance and fulfillment of obligations. Requirements: Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or a related field. Proven experience in purchasing, procurement, or supply chain management role, preferably in a corporate or manufacturing environment. Strong negotiation skills and ability to build and maintain vendor relationships. Excellent analytical and problem-solving abilities. Proficiency in using procurement software, ERP systems, and MS Office applications. Knowledge of purchasing principles, contract law, and procurement best practices. Effective communication and interpersonal skills. Attention to detail and accuracy in data analysis and documentation. Ability to work independently and collaboratively within cross-functional teams.
