We are looking for a competent and friendly Front Office Executive to join our team in Kalpetta. The Front Office Executive will be the first point of contact for our clients and visitors, providing excellent customer service and administrative support to ensure smooth operations of the front desk. Responsibilities: Greeting and Welcoming: Welcome clients, guests, and visitors with a warm and friendly demeanor. Provide assistance and direction as needed and ensure a positive first impression of our organization. Front Desk Operations: Manage the front desk area, including answering phone calls, taking messages, and handling inquiries. Direct calls and visitors to the appropriate person or department and provide accurate information about our products, services, and facilities. Appointment Scheduling: Schedule appointments, meetings, and reservations for clients and staff. Coordinate meeting room bookings and ensure rooms are set up with necessary equipment and materials. Client Relations: Build and maintain strong relationships with clients and customers by providing exceptional customer service. Address client inquiries, concerns, and complaints promptly and professionally. Administrative Support: Provide administrative support to various departments as needed. Assist with data entry, filing, photocopying, scanning, and other clerical tasks to ensure efficient office operations. Mail Handling: Receive, sort, and distribute incoming mail, packages, and deliveries. Prepare outgoing mail and packages for pickup or shipment and ensure timely delivery. Office Maintenance: Ensure the front office area is clean, organized, and presentable at all times. Monitor office supplies and replenish inventory as needed. Coordinate with maintenance staff for repairs and maintenance of office equipment and facilities. Visitor Management: Maintain a log of visitor arrivals and departures. Issue visitor badges and ensure compliance with security protocols and procedures. Requirements: Bachelor's degree or diploma in Business Administration, Hospitality Management, or a related field (preferred). Proven experience in a front office or customer service role. Excellent communication and interpersonal skills. Professional appearance and demeanor. Strong organizational and multitasking abilities. Proficiency in MS Office (Word, Excel, Outlook).
