Job Description: The Front Office Executive plays a crucial role in providing a welcoming and professional environment for clients, visitors, and employees. This position involves managing front desk activities, handling inquiries, and assisting with administrative tasks to ensure smooth operations and customer satisfaction. Responsibilities: Reception Duties: Greet visitors, clients, and employees with a warm and friendly demeanor as they arrive at the office. Provide assistance and guidance as needed, such as directing visitors to the appropriate person or department. Telephone Handling: Answer incoming calls promptly and professionally, routing calls to the appropriate individual or department. Take messages accurately and ensure timely delivery to recipients. Visitor Management: Register visitors and issue visitor badges as required. Ensure compliance with security protocols and escort visitors to designated areas as needed. Appointment Scheduling: Manage appointment calendars for executives and staff members. Schedule and confirm appointments, meetings, and conference room bookings efficiently. Customer Service: Address inquiries and provide information to clients, visitors, and callers courteously and accurately. Handle complaints or concerns promptly and escalate issues to the appropriate person or department when necessary. Administrative Support: Assist with various administrative tasks, including data entry, filing, photocopying, and scanning documents. Prepare correspondence, reports, and other materials as requested. Mail Handling: Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail and shipments, including courier services and postage. Office Supplies Management: Monitor and replenish office supplies, such as stationery, paper, and office consumables. Place orders with vendors and ensure adequate stock levels are maintained. Facilities Coordination: Coordinate with facilities management staff to address maintenance issues, office repairs, and housekeeping needs. Report any facility-related concerns or safety hazards promptly. Front Desk Operations: Ensure the front desk area is clean, organized, and presentable at all times. Maintain a professional appearance and demeanor while representing the company to visitors and clients. Qualifications: Bachelor's degree or diploma in Business Administration, Hospitality Management, or a related field preferred. Proven experience in a front desk, receptionist, or customer service role, preferably in a corporate or hospitality environment. Excellent communication skills, both verbal and written, with a professional and courteous demeanor. Strong interpersonal skills and the ability to interact with individuals at all levels, both in person and over the phone. Proficiency in using office equipment, including telephone systems, computers, and printers. Customer service orientation and a commitment to delivering exceptional service experiences. Organizational skills and the ability to multitask and prioritize tasks in a fast-paced environment. Attention to detail and accuracy in handling administrative tasks and information. Adaptability and flexibility to accommodate changing priorities and business needs. Knowledge of basic office software applications, such as Microsoft Office (Word, Excel, Outlook).
