Job Summary: We are looking for a proactive and customer-focused Receptionist to be the first point of contact for our organization. The Receptionist will greet visitors, handle inquiries, manage phone calls, and perform various administrative tasks to ensure smooth office operations and provide exceptional service to clients and guests. Responsibilities: Welcome visitors and clients in a courteous and professional manner, providing assistance and direction as needed. Answer incoming phone calls and route them to the appropriate person or department, taking messages accurately and promptly. Manage the reception area, including keeping it clean, organized, and presentable at all times. Handle inquiries from clients, visitors, and staff, providing information and assistance in a timely and helpful manner. Maintain appointment calendars and schedules, booking meetings, conference rooms, and appointments for staff and clients. Assist with administrative tasks, such as filing, photocopying, scanning, and data entry, to support office operations. Receive and distribute mail and packages, including sorting, logging, and delivering to appropriate recipients. Coordinate with other departments to ensure effective communication and collaboration within the organization. Follow company policies and procedures, including security protocols and confidentiality guidelines. Requirements: Proven experience as a Receptionist, Front Desk Officer, or similar role, preferably in a corporate or professional environment. Excellent communication and interpersonal skills, with a friendly and professional demeanor. Strong organizational and multitasking abilities, with the ability to prioritize tasks and manage time effectively. Proficiency in using office equipment, such as phone systems, printers, and scanners. Familiarity with computer software, including Microsoft Office Suite (Word, Excel, Outlook). Attention to detail and accuracy in handling inquiries, appointments, and administrative tasks. Ability to maintain confidentiality and discretion in handling sensitive information. Flexibility to work shifts, including evenings, weekends, and holidays, as required by business needs. Positive attitude, reliability, and a willingness to learn and adapt. Fluency in English and Malayalam; additional languages are a plus.
