As a Front Office Executive, you will be the first point of contact for guests and visitors at our establishment. Your role will involve providing exceptional customer service, managing inquiries and reservations, and ensuring smooth operations at the front desk. This position requires excellent communication skills, a friendly demeanor, and the ability to multitask in a fast-paced environment. Responsibilities: Guest Reception: Greet guests and visitors warmly as they arrive at the front desk. Assist guests with check-in and check-out procedures, ensuring accuracy and efficiency. Provide information about hotel facilities, services, and local attractions to guests. Reservation Management: Handle reservations and room bookings, both in person and over the phone. Input reservation details into the hotel management system and update reservation records as needed. Confirm reservations and communicate any special requests or preferences to relevant departments. Customer Service: Respond promptly to guest inquiries, requests, and complaints in a courteous and professional manner. Address guest concerns and resolve issues promptly to ensure guest satisfaction. Anticipate guest needs and provide personalized service to enhance the guest experience. Administrative Tasks: Maintain cleanliness and organization at the front desk area. Manage incoming and outgoing mail, emails, and phone calls. Prepare and distribute daily reports, including occupancy reports and guest arrival lists. Coordination: Coordinate with housekeeping, maintenance, and other hotel departments to ensure smooth operations. Communicate guest requests and preferences to relevant departments to fulfill guest needs. Collaborate with other front office staff to ensure seamless transitions during shift changes. Cash Handling: Handle cash, credit card transactions, and guest payments accurately and securely. Maintain cash floats and reconcile cash transactions at the end of each shift. Adhere to hotel policies and procedures regarding cash handling and financial transactions. Requirements: Bachelor's degree or diploma in Hospitality Management, Business Administration, or related field preferred. Previous experience in a front office or guest service role in the hospitality industry preferred. Excellent communication skills, both verbal and written, in English and preferably in local languages. Strong customer service orientation with a positive attitude and pleasant demeanor. Proficiency in computer applications, including MS Office and hotel management software. Ability to multitask and prioritize tasks in a dynamic and fast-paced environment. Attention to detail and accuracy in handling reservations, guest information, and financial transactions. Flexibility to work shifts, including evenings, weekends, and holidays, as required.
