The Receptionist serves as the first point of contact for guests and visitors, providing excellent customer service and administrative support. This role requires strong communication skills, multitasking abilities, and a professional demeanor. Responsibilities: Greet guests and visitors warmly and assist them with check-in, check-out, and inquiries in a courteous and professional manner. Answer phone calls, emails, and inquiries promptly and direct them to the appropriate department or staff member. Manage guest reservations, including booking and confirming room reservations, processing payments, and maintaining accurate records. Provide information to guests about hotel amenities, services, and local attractions to enhance their stay experience. Handle guest requests and complaints efficiently and escalate issues to management as needed to ensure guest satisfaction. Maintain the cleanliness and organization of the reception area, including the front desk, lobby, and waiting areas. Assist with administrative tasks such as filing, data entry, photocopying, and faxing to support the smooth operation of the front office. Coordinate with housekeeping, maintenance, and other departments to ensure guest requests and maintenance issues are addressed promptly. Process incoming and outgoing mail, packages, and deliveries and distribute them to the appropriate recipients. Follow security procedures and protocols to ensure the safety and security of guests, staff, and hotel property. Requirements: High school diploma or equivalent; additional certification in hospitality or office administration is a plus. Previous experience as a receptionist, front desk agent, or customer service representative is preferred but not required. Excellent communication and interpersonal skills, with the ability to interact professionally with guests, staff, and vendors. Strong organizational and multitasking abilities, with the capacity to handle multiple tasks and prioritize effectively in a fast-paced environment. Proficiency in using computer software and office equipment, including MS Office applications and multi-line telephone systems. Attention to detail and accuracy in maintaining records, processing transactions, and handling guest information confidentially. Ability to remain calm and composed under pressure and resolve guest issues or complaints tactfully and diplomatically. Flexibility to work varying shifts, including evenings, weekends, and holidays, as required by business needs. Positive attitude, professionalism, and a genuine desire to provide exceptional customer service. Knowledge of local attractions, restaurants, and transportation options in Alappuzha is an asset.
