Key Responsibilities: Administrative Support: Assist with general office tasks, including answering phones, responding to emails, and handling correspondence. Maintain office supplies inventory by checking stock to determine inventory level, anticipating needed supplies, and placing orders. Coordinate appointments, meetings, and travel arrangements for office personnel. Billing and Invoicing: Generate invoices, bills, and statements for customers or clients accurately and in a timely manner. Verify billing data accuracy by reviewing supporting documents, such as purchase orders, sales contracts, or delivery notes. Process payments, receipts, and refunds using accounting software or billing systems. Customer Service: Provide courteous and professional customer service to clients or customers regarding billing inquiries, payment issues, or account discrepancies. Address customer complaints or concerns promptly and escalate unresolved issues to the appropriate department or supervisor. Data Entry and Record Keeping: Enter data into computer systems or databases, ensuring accuracy and completeness of information. Maintain accurate records of billing transactions, payment receipts, and customer interactions for future reference or audit purposes. Financial Reporting: Prepare financial reports, summaries, or statements related to billing, accounts receivable, or payment processing as required. Assist in reconciling accounts and resolving discrepancies between billing records and financial reports. Documentation and Filing: Organize and maintain files, records, and documentation in accordance with company policies and procedures. Ensure proper filing, storage, and retrieval of documents for easy access and reference. Qualifications: High school diploma or equivalent; additional certification or training in office administration or billing is a plus. Proven experience (X years) in office administration, billing, or a similar role, preferably in a business or administrative setting. Proficiency in computer skills, including MS Office (Word, Excel, Outlook) and accounting software. Excellent organizational skills and attention to detail, with the ability to prioritize tasks and manage time effectively. Strong communication and interpersonal skills, with the ability to interact professionally with customers, colleagues, and vendors. Ability to work independently with minimal supervision and collaborate effectively as part of a team. Problem-solving abilities to resolve billing discrepancies, customer complaints, or operational issues. Adaptability and willingness to learn new tasks, procedures, and software applications as required. Integrity, reliability, and discretion in handling sensitive information and financial transactions. Flexibility to work occasional evenings or weekends as needed to meet business demands.
