As a Receptionist in Idukki, you will be the first point of contact for guests and visitors, providing a warm welcome and delivering excellent customer service. Your role involves managing inquiries, reservations, check-ins, and check-outs, as well as assisting guests with information and requests to ensure a positive experience during their stay. Responsibilities: Guest Reception: Welcome guests and visitors in a friendly and professional manner. Greet guests upon arrival, inquire about their reservation, and assist with check-in procedures. Provide information about the hotel facilities, services, and amenities. Reservation Management: Answer phone calls, emails, and inquiries regarding room availability, rates, and reservations. Assist guests with making reservations, processing bookings, and confirming room allocations. Input reservation details accurately into the property management system (PMS). Check-in and Check-out: Process guest check-ins efficiently, verify identification, and collect payment information. Provide room keys, directions, and information about hotel services to guests upon check-in. Facilitate smooth check-out procedures, process payments, and issue invoices or receipts. Guest Assistance: Address guest inquiries, requests, and complaints promptly and professionally. Assist guests with luggage handling, transportation arrangements, and restaurant reservations. Provide recommendations and information about local attractions, activities, and events. Communication and Coordination: Maintain effective communication with other hotel departments to ensure guest needs are met. Relay messages, requests, and information to relevant staff members in a timely manner. Coordinate with housekeeping, maintenance, and other departments to fulfill guest requests and resolve issues. Administrative Tasks: Perform administrative duties such as filing, photocopying, and faxing documents. Maintain accurate records of guest information, reservations, and transactions. Prepare daily reports, including occupancy rates, arrivals, departures, and special requests. Safety and Security: Monitor the lobby area and ensure the safety and security of guests and premises. Follow hotel procedures for handling emergencies, including fire alarms, medical incidents, and security threats. Report any safety hazards, maintenance issues, or suspicious activities to the appropriate personnel. Qualifications: High school diploma or equivalent qualification required; additional certification in hospitality or tourism management is a plus. Previous experience in a customer service or hospitality role preferred. Strong communication and interpersonal skills, with a courteous and professional demeanor. Excellent organizational and multitasking abilities, with attention to detail. Proficiency in computer skills and familiarity with reservation systems or property management software. Ability to remain calm and composed in high-pressure situations and handle guest inquiries or complaints effectively. Fluency in English and proficiency in other languages spoken by guests may be advantageous.
