As a Back Office Executive, you will be responsible for performing various administrative and clerical tasks to support the smooth operation of the back-office functions. Responsibilities: Data Entry: Enter and update data accurately into computer systems, databases, spreadsheets, and other software applications. Ensure data integrity, completeness, and confidentiality in all data entry activities. Documentation: Prepare, review, and organize documents, reports, forms, and correspondence. Maintain organized records and filing systems to facilitate easy retrieval and access to information. Email and Correspondence: Manage incoming and outgoing emails, letters, and other communications. Respond to inquiries, forward messages to appropriate recipients, and follow up on action items as needed. Scheduling: Coordinate schedules, appointments, meetings, and travel arrangements for team members or managers. Prepare meeting agendas, reserve meeting rooms, and assist with meeting logistics as required. Administrative Support: Provide administrative support to departmental managers or team members as needed. Assist with photocopying, scanning, faxing, and printing documents. Handle incoming calls and redirect inquiries to the appropriate personnel. Database Management: Maintain and update customer, employee, and vendor databases. Ensure accuracy of contact information, account details, and transaction records. Generate reports and extract data as requested. Record Keeping: Maintain accurate and up-to-date records of expenses, invoices, purchase orders, and receipts. Verify and reconcile financial transactions and prepare reports for accounting and auditing purposes. Quality Assurance: Review documents, forms, and reports for accuracy, completeness, and compliance with organizational standards and procedures. Identify and rectify errors or discrepancies as needed. Inventory Management: Assist with inventory control activities, including monitoring stock levels, placing orders, and tracking inventory movements. Coordinate with suppliers and vendors to ensure timely delivery of goods and supplies. Cross-Functional Collaboration: Collaborate with other departments or teams to facilitate seamless communication and coordination of tasks and projects. Share information, resources, and best practices to support organizational goals. Requirements: Educational Qualification: Bachelor's degree in business administration, commerce, or a related field is preferred but not required. Relevant work experience or vocational training may be considered. Computer Skills: Proficiency in computer applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and data entry software. Experience with ERP systems or database management software is a plus. Organizational Skills: Excellent organizational and time management skills. Ability to prioritize tasks, manage multiple responsibilities, and meet deadlines in a fast-paced environment. Attention to Detail: Strong attention to detail and accuracy in data entry and record-keeping tasks. Ability to identify errors and discrepancies and take corrective action as needed. Communication Skills: Good verbal and written communication skills. Ability to communicate effectively with colleagues, customers, and external contacts.
