As a Billing Clerk, you will play a crucial role in ensuring accurate and efficient billing processes within our establishment. Your responsibilities will include generating invoices, processing payments, reconciling accounts, and providing excellent customer service to our clients. This position requires attention to detail, strong numerical skills, and proficiency in billing software or systems. Responsibilities: Invoice Generation: Generate invoices for products or services rendered to clients, ensuring accuracy and completeness of billing information. Verify pricing, quantities, and discounts before issuing invoices to customers. Customize invoices based on client requirements and specifications. Payment Processing: Receive payments from customers in various forms, including cash, checks, credit/debit cards, or digital payment methods. Record payments accurately in the billing system and issue receipts to customers. Reconcile payments received with invoices issued and resolve any discrepancies or outstanding balances. Account Reconciliation: Reconcile billing records with financial transactions and customer accounts to ensure accuracy and integrity of billing data. Investigate and resolve any billing errors, discrepancies, or disputes in a timely and professional manner. Prepare reports summarizing billing activities, outstanding balances, and collections efforts. Customer Service: Provide courteous and efficient customer service to clients regarding billing inquiries, account statements, and payment arrangements. Address customer concerns or complaints related to billing issues and work to resolve them promptly and satisfactorily. Assist customers with setting up payment plans, updating billing information, or processing refunds as necessary. Documentation and Reporting: Maintain organized and up-to-date records of invoices, payments, and customer communications. Prepare regular reports on billing activities, accounts receivable status, and collections efforts for management review. Ensure compliance with accounting principles, billing policies, and regulatory requirements. Qualifications and Skills: Bachelor's degree in Accounting, Finance, Business Administration, or related field is preferred. Proven experience in billing, accounts receivable, or related financial roles. Strong numerical aptitude and attention to detail in processing financial transactions. Proficiency in using billing software, accounting systems, and Microsoft Office applications. Excellent communication and interpersonal skills for interacting with clients and resolving billing inquiries. Ability to work independently, prioritize tasks, and meet deadlines in a fast-paced environment. Knowledge of billing regulations, compliance standards, and industry best practices.
