As a Receptionist, you will be the first point of contact for visitors, patients, and clients at the facility. Your role involves managing the front desk operations, handling incoming calls, scheduling appointments, and providing administrative support to various departments. The ideal candidate will have excellent communication skills, a friendly and professional demeanor, and the ability to multitask effectively in a fast-paced environment. Key Responsibilities: Front Desk Management: Greet visitors, patients, and clients in a courteous and professional manner upon arrival at the facility. Manage the reception area, including answering phone calls, directing inquiries to the appropriate personnel, and maintaining a tidy and welcoming environment. Appointment Scheduling: Schedule appointments for patients and clients, coordinating with healthcare providers, clinicians, and administrative staff to ensure efficient appointment management. Confirm appointment details, send appointment reminders, and reschedule appointments as necessary to accommodate changes in availability or scheduling conflicts. Patient Registration and Check-In: Register new patients by collecting demographic information, insurance details, and medical history forms as per established protocols. Check-in patients for appointments, verify identification, insurance coverage, and appointment details, and assist with completion of necessary paperwork. Administrative Support: Provide administrative support to various departments, including filing, data entry, photocopying, and scanning documents. Assist with patient intake processes, insurance verification, and billing inquiries, ensuring accuracy and confidentiality of patient information. Communication and Correspondence: Handle incoming and outgoing correspondence, including emails, faxes, and mail, distributing messages to appropriate recipients and responding to routine inquiries. Relay messages, information, and instructions accurately and promptly to staff members, patients, and visitors as needed. Emergency Response and Security: Follow established procedures for emergency response, including contacting appropriate personnel and initiating emergency protocols in case of medical emergencies or security incidents. Maintain awareness of facility security procedures and protocols, reporting any safety concerns or security breaches to the appropriate authorities. Qualifications and Skills: High school diploma or equivalent qualification required; additional certification in office administration or customer service is a plus. Proven experience as a Receptionist, Front Desk Officer, or similar role, preferably in a healthcare or medical setting. Excellent communication skills, both verbal and written, with the ability to interact professionally with diverse individuals, including patients, visitors, staff, and vendors. Strong organizational skills, attention to detail, and the ability to multitask efficiently in a busy environment. Proficiency in computer applications, including MS Office suite and electronic medical records (EMR) systems. Additional Information: This is typically a full-time position based in Malappuram, Kerala.
