As an Office Staff member, you will provide administrative support and assist with various tasks to ensure the smooth operation of the office. Your responsibilities may include handling incoming calls, managing correspondence, organizing files, and assisting colleagues with administrative tasks. The ideal candidate will have strong organizational skills, attention to detail, and proficiency in office software. Key Responsibilities: Reception and Front Desk Duties: Greet visitors, answer phone calls, and direct inquiries to the appropriate person or department. Manage the reception area, including receiving and distributing mail and packages. Administrative Support: Assist with general administrative tasks, such as filing, photocopying, scanning, and data entry. Prepare and distribute documents, reports, and correspondence as needed. Calendar Management: Schedule appointments, meetings, and conference calls for management and staff. Coordinate meeting room bookings and ensure necessary arrangements are made. Recordkeeping and Documentation: Maintain organized files and records, both electronic and hard copy, for easy retrieval. Update and maintain databases, spreadsheets, and other documents accurately. Office Supplies and Inventory: Monitor and replenish office supplies, such as stationery, printer cartridges, and pantry items. Keep track of inventory levels and place orders with suppliers as needed. Assistance to Colleagues: Provide support to colleagues and managers as required, including arranging travel logistics, preparing expense reports, and coordinating logistics for meetings or events. Qualifications and Skills: High school diploma or equivalent qualification. Prior experience in an office environment or administrative role is preferred but not required. Proficiency in Microsoft Office suite (Word, Excel, Outlook) and other office software. Excellent communication skills, both verbal and written. Strong organizational skills and the ability to multitask and prioritize tasks effectively. Attention to detail and accuracy in data entry and recordkeeping. Ability to work independently with minimal supervision and as part of a team.
