We are currently seeking a proactive and organized individual to join our team as an Office Assistant in Trivandrum. The Office Assistant will be responsible for providing administrative support to ensure efficient operation of the office. The ideal candidate should have excellent organizational and multitasking skills, attention to detail, and the ability to work effectively in a fast-paced environment. Responsibilities: Greet and assist visitors, clients, and employees in a professional and courteous manner, both in person and over the phone. Answer and direct incoming calls to appropriate personnel, take messages, and relay information accurately and promptly. Maintain office filing systems, including electronic and physical files, records, documents, and correspondence, in an organized and accessible manner. Assist in processing and distributing incoming and outgoing mail, packages, and deliveries, and coordinate courier services as needed. Prepare and format documents, reports, presentations, and spreadsheets using word processing, spreadsheet, and presentation software. Assist in scheduling appointments, meetings, and events, and coordinate calendars and meeting rooms as requested by management or staff. Order and maintain office supplies, equipment, and inventory, and ensure adequate stock levels are maintained at all times. Perform basic bookkeeping tasks, such as recording expenses, issuing invoices, processing payments, and reconciling accounts as directed. Assist in organizing and coordinating office events, conferences, and team-building activities, and provide logistical support as needed. Coordinate travel arrangements, accommodation bookings, and transportation for employees and visitors, and ensure travel itineraries are confirmed. Assist in maintaining office facilities, including cleanliness, safety, and security, and report any maintenance issues or safety concerns to management. Collaborate with other administrative staff, department heads, and managers to support office operations, projects, and initiatives as required. Requirements: High school diploma or equivalent qualification is required; additional certification or training in office administration or related field is a plus. Proven work experience as an office assistant, administrative assistant, or similar role is preferred. Proficiency in using office software, including Microsoft Office suite (Word, Excel, PowerPoint, Outlook) and basic knowledge of office equipment and systems. Excellent organizational skills and the ability to prioritize tasks, manage time effectively, and meet deadlines in a dynamic work environment. Strong attention to detail and accuracy in data entry, record keeping, and document management. Excellent communication and interpersonal skills, with the ability to interact professionally with individuals at all levels, both internally and externally. Ability to maintain confidentiality and handle sensitive information with discretion and integrity. Flexibility to adapt to changing priorities and responsibilities, and willingness to take on new tasks and challenges as needed. Positive attitude, proactive approach, and willingness to collaborate and work as part of a team. Fluency in Malayalam; proficiency in English or other languages is an advantage.
