We are currently seeking a detail-oriented and organized Documentation Executive to join our team in Ernakulam. As a Documentation Executive, you will be responsible for managing and maintaining accurate records, files, and documentation related to our organization's operations and projects. Responsibilities: Prepare, review, and organize various types of documentation, including contracts, agreements, reports, proposals, and correspondence. Ensure that all documents are accurately formatted, edited, and proofread for clarity, consistency, and compliance with organizational standards and requirements. Maintain an organized filing system for easy retrieval and access to documents, both electronically and in physical formats. Coordinate with internal teams and external stakeholders to collect, compile, and verify information needed for documentation purposes. Assist in the development and implementation of documentation processes, procedures, and templates to streamline workflows and improve efficiency. Manage document version control and revision history to track changes and updates accurately. Ensure that all documentation is properly archived and disposed of in accordance with retention policies and legal requirements. Respond to inquiries and requests for information from team members, clients, and other stakeholders in a timely and professional manner. Collaborate with cross-functional teams to support documentation needs for various projects, initiatives, and compliance requirements. Stay informed about industry standards, regulations, and best practices related to documentation management and ensure compliance with relevant guidelines. Assist in training and onboarding new employees on documentation processes and tools as needed. Requirements: Bachelor's degree in business administration, communications, or a related field. Proven experience in documentation management, administrative support, or a similar role. Excellent written and verbal communication skills, with strong attention to detail and accuracy. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and document management software. Ability to organize and prioritize tasks effectively, manage multiple projects simultaneously, and meet deadlines. Strong interpersonal skills and the ability to collaborate effectively with team members and stakeholders at all levels. Familiarity with document formatting, editing, and proofreading techniques. Knowledge of document control and versioning systems is an advantage. Discretion and respect for confidentiality when handling sensitive information. Must be legally eligible to work in India.
