We are currently seeking dedicated and organized individuals to join our team as Office Staff in Alappuzha. The Office Staff will play a crucial role in ensuring the smooth and efficient operation of our office by providing administrative and clerical support across various departments. Responsibilities: Administrative Support: Assist with general administrative tasks, including answering phone calls, responding to emails, and managing correspondence. Coordinate meetings, appointments, and travel arrangements for staff members as needed. Data Entry: Accurately enter and maintain data in electronic databases, spreadsheets, and other records. Update and organize files, documents, and records to ensure easy retrieval and access by authorized personnel. Document Preparation: Draft and format documents, reports, presentations, and correspondence as required. Proofread and edit documents for grammar, punctuation, and formatting accuracy before finalizing. Customer Service: Provide excellent customer service to clients, visitors, and guests by greeting them warmly and assisting with inquiries or requests. Direct inquiries to appropriate personnel and handle customer complaints or issues in a professional and courteous manner. Inventory Management: Assist with inventory control by monitoring stock levels, ordering supplies, and maintaining inventory records. Coordinate with vendors and suppliers to ensure timely delivery of office supplies and equipment. Filing and Organization: Maintain organized filing systems for documents, records, and materials. Ensure files are labeled, indexed, and stored securely to facilitate easy retrieval and compliance with recordkeeping protocols. Meeting Support: Prepare meeting agendas, documents, and materials. Set up meeting rooms, audiovisual equipment, and refreshments. Take meeting minutes and distribute them to attendees as required. Office Maintenance: Coordinate office maintenance and repairs, including facilities management, equipment servicing, and janitorial services. Ensure the office environment is clean, safe, and conducive to productivity. Requirements: High school diploma or equivalent. Proven experience in an administrative or office support role, preferably in a professional office environment. Proficiency in MS Office applications (Word, Excel, Outlook) and other office software. Excellent communication and interpersonal skills. Strong organizational and multitasking abilities. Attention to detail and accuracy in data entry and recordkeeping. Ability to work independently and collaboratively within a team. Flexibility to adapt to changing priorities and work under pressure. Knowledge of office equipment and procedures.
