As a Back Office Assistant, you will be responsible for providing administrative support and performing various clerical tasks to ensure the smooth and efficient operation of the back-office functions of the organization. Your primary objective will be to assist in managing paperwork, data entry, record-keeping, and other administrative tasks as needed. This role requires attention to detail, organizational skills, and proficiency in computer applications. Responsibilities: Data Entry: Input, update, and maintain accurate records, databases, and spreadsheets using computerized data entry systems or software applications, ensuring data integrity and confidentiality. Document Management: Organize and maintain physical and electronic files, documents, and records, including scanning, filing, labeling, and archiving, to facilitate easy retrieval and reference. Correspondence: Prepare and distribute correspondence, memos, emails, reports, and other documents as directed by supervisors or team members, ensuring accuracy, clarity, and timely delivery. Communication: Communicate effectively with internal team members, external clients, vendors, and stakeholders via phone, email, or in-person, and assist in handling inquiries, scheduling appointments, and coordinating meetings or events as needed. Administrative Support: Provide general administrative support to the office or department, including photocopying, faxing, printing, mailing, and ordering office supplies, to ensure smooth day-to-day operations. Data Analysis: Assist in gathering, compiling, and analyzing data or information from various sources, and prepare reports, summaries, or presentations for review by supervisors or management. Quality Assurance: Perform quality checks and verification of data, documents, and reports to identify errors or discrepancies, and take corrective actions as needed to ensure accuracy and completeness. Task Coordination: Coordinate tasks, projects, or assignments with team members, departments, or external partners, and follow up on action items or deliverables to ensure timely completion and alignment with objectives. Compliance: Ensure compliance with company policies, procedures, and regulatory requirements related to data privacy, confidentiality, and document management, and maintain confidentiality of sensitive information at all times. Problem Solving: Identify issues, challenges, or inefficiencies in administrative processes or systems, and propose solutions or improvements to enhance efficiency, productivity, and effectiveness. Requirements: High school diploma or equivalent; additional education or certification in office administration or related field is a plus. Proven experience in administrative support roles, back-office operations, or similar positions. Proficiency in computer applications, including Microsoft Office suite (Word, Excel, Outlook) and data entry software. Excellent organizational skills, with the ability to multitask, prioritize tasks, and manage time effectively. Strong attention to detail and accuracy in data entry, record-keeping, and document management. Effective communication skills, both verbal and written, with the ability to interact professionally with colleagues and external contacts. Problem-solving abilities and the capacity to work independently with minimal supervision. Flexibility to adapt to changing priorities, deadlines, and work requirements in a dynamic environment.
