As a Back Office Executive in Trivandrum, your role is crucial in ensuring the smooth and efficient operation of administrative tasks and support functions within the organization. You will be responsible for handling a variety of administrative duties, data entry tasks, and back-office operations to support the overall functioning of the business. Your duties may include, but are not limited to: Data Entry and Management: Inputting, updating, and maintaining accurate data in the company's databases, spreadsheets, and systems. Verifying the accuracy and completeness of data entries and making necessary corrections as needed. Documentation and Record Keeping: Organizing and maintaining physical and electronic files, documents, and records in a systematic and efficient manner. Managing and archiving documents according to company policies and procedures. Email and Correspondence Handling: Managing and responding to emails, inquiries, and correspondence in a timely and professional manner. Routing emails to appropriate departments or personnel and following up on pending tasks or requests. Administrative Support: Assisting with various administrative tasks, such as scheduling appointments, arranging meetings, and preparing meeting agendas and minutes. Coordinating travel arrangements, hotel bookings, and transportation for staff members as needed. Reporting and Analysis: Generating reports, charts, and graphs from database records or spreadsheets to provide insights and analysis for decision-making purposes. Summarizing data and information into clear and concise reports for management review. Coordination and Communication: Liaising with internal departments, external vendors, and clients to facilitate smooth communication and collaboration. Serving as a point of contact for inquiries, requests, and information dissemination within the organization. Quality Assurance: Performing quality checks and audits on data entries, documents, and records to ensure accuracy, completeness, and compliance with standards. Identifying and resolving discrepancies or errors in data and documentation. Process Improvement: Identifying opportunities for process improvements and efficiency gains in back-office operations. Recommending and implementing solutions to streamline workflows and enhance productivity. Requirements: Bachelor's degree in business administration, finance, or a related field. Diploma or certification in office administration may be preferred. Proven experience in back-office or administrative roles, with proficiency in data entry and office software applications. Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines. Attention to detail and accuracy in data entry and documentation tasks. Strong communication and interpersonal skills, with the ability to work effectively in a team environment. Proficiency in using Microsoft Office Suite (Word, Excel, Outlook) and other office productivity tools. Familiarity with office equipment, such as printers, scanners, and photocopiers.
