As a Receptionist in Thamarasey, Kerala, you will be the first point of contact for visitors and customers, providing excellent customer service and administrative support. Responsibilities: Greeting and Welcoming Visitors: Welcome visitors and guests in a friendly and courteous manner. Direct visitors to appropriate personnel or meeting locations. Maintain a neat and organized reception area to create a positive first impression. Answering Phone Calls: Answer incoming phone calls promptly and professionally. Screen and direct calls to the appropriate individuals or departments. Take messages accurately and relay them to the intended recipients promptly. Handling Inquiries and Requests: Respond to inquiries from visitors, customers, and employees regarding company services, products, or policies. Provide information and assistance as needed, or escalate inquiries to the appropriate personnel. Appointment Scheduling: Schedule appointments, meetings, and conference room bookings as requested. Coordinate meeting logistics, including room setup, equipment arrangements, and catering services. Administrative Support: Assist with administrative tasks, such as filing, photocopying, scanning, and data entry. Prepare and distribute documents, reports, and correspondence as needed. Assist with mail handling, including sorting, distributing, and processing incoming and outgoing mail. Customer Service: Provide excellent customer service to all visitors, clients, and stakeholders. Address customer inquiries, concerns, and complaints promptly and professionally. Ensure customer satisfaction by meeting their needs and exceeding their expectations. Security and Access Control: Monitor and control access to the premises, ensuring the security and safety of employees and visitors. Enforce security protocols, such as visitor sign-in procedures and access badge issuance. Maintaining Records: Maintain accurate and up-to-date records of visitor logs, appointments, and other relevant information. Ensure confidentiality and security of sensitive information and records. Requirements: Proven experience as a Receptionist, Front Desk Officer, or similar role, preferably in a corporate or hospitality environment. Excellent communication skills, both verbal and written, with a polite and professional demeanor. Strong interpersonal skills and the ability to interact effectively with a diverse range of people. Proficiency in using office equipment, such as multi-line phone systems, copiers, and fax machines. Basic computer skills, including familiarity with email, word processing, and spreadsheet software. Organizational skills and attention to detail to manage multiple tasks and priorities efficiently. Ability to remain calm and composed under pressure and handle challenging situations with tact and diplomacy. Flexibility to work varied shifts, including evenings, weekends, and holidays, as required.
