Job Description: As a Front Office Executive, you will be the first point of contact for visitors, clients, and employees entering our premises. You will play a crucial role in creating a positive first impression and ensuring smooth operations at the front desk. Key Responsibilities: Reception Duties: Welcome visitors, clients, and employees with a warm and friendly demeanor. Answer incoming calls, transfer calls to appropriate personnel, and take messages accurately. Visitor Management: Register and issue visitor passes, maintain visitor logs, and ensure compliance with security procedures. Escort visitors to meeting rooms as needed and notify relevant staff members of their arrival. Information Dissemination: Provide information about the company, its services, and directions to visitors as required. Handle inquiries from visitors and direct them to the appropriate department or individual for assistance. Appointment Scheduling: Manage appointment schedules for meetings, interviews, and other engagements. Coordinate with internal staff to schedule appointments and ensure meeting rooms are prepared. Mail and Courier Handling: Receive and sort incoming mail, packages, and courier deliveries. Distribute mail to appropriate recipients and coordinate outgoing mail and courier shipments. Administrative Support: Assist with administrative tasks such as filing, photocopying, scanning, and data entry. Maintain office supplies inventory and place orders as needed. Facilities Management: Monitor and maintain the cleanliness and tidiness of the reception area and common areas. Report any maintenance or repair issues to the facilities department. Security Compliance: Enforce security protocols and procedures to ensure the safety and security of employees and visitors. Monitor CCTV cameras and report any suspicious activities to the appropriate authorities. Customer Service: Provide exceptional customer service to all visitors and callers. Handle inquiries and complaints promptly and professionally, seeking assistance from management when necessary. Team Collaboration: Collaborate with colleagues and other departments to ensure seamless communication and coordination. Assist with special projects and initiatives as assigned by management. Qualifications: Bachelor's degree or equivalent in Business Administration, Hospitality Management, or related field. Previous experience (X years) in a front office or receptionist role, preferably in a corporate or professional setting. Excellent verbal and written communication skills in English and Malayalam. Strong interpersonal skills with a pleasant and professional demeanor. Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills. Ability to multitask, prioritize tasks, and work efficiently in a fast-paced environment. Attention to detail and accuracy in handling administrative tasks. Customer service-oriented mindset with a proactive approach to problem-solving. Flexibility to work shifts, including evenings and weekends, as required.
