As a Front Office Executive, you will be the first point of contact for guests and visitors, providing exceptional customer service and administrative support to ensure a positive experience. Responsibilities: Guest Reception: Greet guests and visitors warmly upon their arrival at the front desk. Provide assistance with check-in and check-out procedures, room assignments, and luggage handling as needed. Customer Service: Provide personalized assistance and information to guests regarding hotel facilities, services, amenities, and local attractions. Address guest inquiries, requests, and concerns promptly and professionally. Reservation Management: Handle guest reservations, bookings, and cancellations using the hotel's reservation system. Confirm room availability, rates, and special requests accurately and communicate reservation details to relevant departments. Telephone and Email Correspondence: Answer incoming calls, take messages, and transfer calls to the appropriate departments or staff members. Respond to guest emails and inquiries in a timely and courteous manner. Front Desk Operations: Maintain the cleanliness and organization of the front desk area, including the reception counter, lobby, and waiting area. Ensure that promotional materials, brochures, and displays are well-stocked and updated. Cash Handling: Process guest payments, room charges, and cash transactions accurately using the hotel's billing system. Handle cash, credit card transactions, and electronic payments securely and in compliance with financial procedures. Guest Relations: Build rapport with guests and establish positive relationships to enhance their overall experience. Anticipate guest needs and preferences and provide personalized recommendations and assistance to meet their requirements. Administrative Support: Perform various administrative tasks, such as filing, data entry, photocopying, and faxing documents. Assist with the preparation of guest invoices, reports, and correspondence as directed by the management. Safety and Security: Maintain awareness of hotel security procedures and emergency protocols. Monitor guest activity and report any suspicious behavior or security incidents to the appropriate authorities or management. Team Collaboration: Collaborate with other departments, including housekeeping, maintenance, and food and beverage, to ensure seamless guest service delivery. Communicate guest requests, special instructions, and room status updates to relevant staff members. Requirements: Previous experience (1-2 years) in a front office or customer service role, preferably in the hospitality industry. Excellent communication and interpersonal skills, with a friendly and professional demeanor. Strong organizational and multitasking abilities to manage multiple tasks and priorities effectively. Proficiency in computer software applications, including MS Office and hotel management systems. Attention to detail and accuracy in handling guest reservations, payments, and administrative tasks. Flexibility to work shifts, including evenings, weekends, and holidays as required. Diploma or degree in hospitality management, business administration, or a related field is preferred. Fluency in English and proficiency in additional languages, such as Malayalam, Hindi, or other regional languages, is an advantage.
