Job Description: As an Office Staff member, you will be responsible for performing various administrative and clerical duties to support the efficient operation of the office. Your primary responsibilities will include handling incoming calls and emails, managing office correspondence, organizing and maintaining files and records, assisting with data entry and document preparation, and providing general administrative support to the office team. You will work closely with other departments and team members to facilitate communication, coordination, and workflow efficiency. Key Responsibilities: Front Desk Duties: Greet visitors, clients, and employees in a professional and welcoming manner. Answer incoming calls, screen and direct phone calls to the appropriate parties, and take messages as needed. Manage the reception area, including receiving and distributing mail, packages, and deliveries. Office Administration: Assist with general office tasks, such as photocopying, scanning, faxing, and filing documents. Maintain office supplies inventory, order supplies as needed, and ensure proper stocking of essential items. Coordinate meetings, appointments, and conference room bookings, and assist with scheduling and calendar management. Data Entry and Record-keeping: Input data into computer systems and databases accurately and efficiently. Organize and maintain electronic and paper files, ensuring proper storage, labeling, and accessibility of documents. Correspondence and Communication: Draft and format correspondence, memos, reports, and other documents as assigned. Respond to inquiries from clients, vendors, and employees promptly and professionally. Coordinate and distribute internal communications, announcements, and notices as directed. Assistance to Office Team: Provide administrative support to managers, supervisors, and other team members as needed. Assist with special projects, events, or initiatives as assigned, contributing to the overall success of the office and organization. Qualifications: Previous experience in office administration, reception, or clerical roles preferred. Proficiency in MS Office applications (Word, Excel, Outlook) and other office software. Excellent communication skills, both verbal and written. Strong organizational and multitasking abilities, with attention to detail.
